Refunds and cancellations

Scope

This policy applies to professional engagements with NextGen Software Tools for fraud review, exception testing, control walkthroughs, and findings remediation support. The website does not sell physical goods or run online checkout. Fees are agreed in a scoping note or engagement letter.

Deposits

A deposit—typically thirty percent of the estimated fee—is usually required to reserve a start window. The deposit is credited toward the final invoice. Deposits become non-refundable once fieldwork or substantive document review has begun, except where we cancel for reasons within our control.

Eligibility for refund

• Full refund of unused fees if we cancel the engagement before start for reasons within our control (for example, conflict identified late or inability to staff the agreed window).
• Partial refund if you cancel in writing more than ten business days before the agreed start date: deposit less an administrative fee of NT$15,000, or the actual time already spent preparing the request list if higher.
• No refund of deposit for cancellations within ten business days of the start date, or after fieldwork has started, except as required by mandatory law.

Work already started

Time already incurred for scoping beyond a complimentary inquiry, document review, interviews, or testing is billable at the agreed rates and is not refundable. You remain entitled to work product completed and paid for, subject to engagement confidentiality terms.

Remediation retainer blocks

Prepaid day blocks for remediation support are refundable only for unused full days if you cancel the retainer in writing before any day in the block is used, less NT$10,000 administration. Once a day in the block is used, remaining unused days are non-refundable but remain available until the expiry stated in the letter (typically ninety days).

Rescheduling

You may request to reschedule a start date once without fee if notice is given at least seven business days in advance and a mutually available window exists within sixty days. Later or repeated reschedules may incur a fee of NT$12,000 to cover calendar disruption.

No-shows

If scheduled interviews or on-site days are missed by your side without at least one business day’s notice, those days may be charged as delivered. We will attempt to rebook once within the engagement period.

Purchased materials

Engagements do not ordinarily involve purchasing materials on your behalf. If you authorize third-party data-room fees or courier costs in writing, those outlays are non-refundable once incurred.

Refund process and timing

Email [email protected] with your engagement reference, reason for the request, and payment details used. Approved refunds are processed within fourteen business days to the original payment method where possible, or by bank transfer to a Taiwan account you nominate.

Exceptions

If an engagement letter states different cancellation terms, the letter controls. Statutory rights under Taiwanese law that cannot be waived remain available.
